Understanding authentication

Different documents.
Different stages.

HRD, Home Department, MEA, embassy, MOFA: these names describe different parts of document authentication. We help identify and coordinate the stages your particular request needs.

Ask about my document route

Your document may need
only some of these stages.

This is a guide to possible stages, not a universal sequence. The issuing authority, document type, destination and receiving organisation’s instructions determine the route. A country selection alone cannot establish the process.

Document and issuing-location checks

The appropriate
starting point.

Prior verification or authentication can involve different offices. These routes are conditional, and some are alternatives rather than consecutive steps.

If a stage has already been completed, tell us which one. We review it alongside the remaining requirements.

Institution verification and HRD
Educational documents may need verification by the issuing school, university or board and authentication through the relevant state education or HRD process. We help coordinate the requirements identified for your certificate.
General Administration Department
A state or union territory’s General Administration Department (GAD) may be the designated authentication authority. Its role depends on the issuing location and the type of document.
Home Department
Personal documents may require authentication through the relevant Home Department. We check the applicable state requirements before arranging this stage.
NORKA coordination
For eligible Kerala-related certificates, we can help coordinate the applicable NORKA-ROOTS authentication arrangements. The document category and requested destination process determine what is needed.
Sub-Divisional Magistrate
An SDM stage may be relevant to an eligible document route. We check whether it is appropriate for your case; it should not be assumed to replace a specifically required state or educational authentication.
Chamber of Commerce
Commercial and trade documents may need authentication by a Chamber of Commerce. Examples include company records and trade paperwork, subject to the document and destination requirements.

National and destination stages

What happens
after prior checks.

Not every document needs all of these stages. Treaty applicability, exemptions and the recipient’s requirements must be checked before confirming the work.

MEA

India’s Ministry of External Affairs

The applicable process may involve MEA apostille or normal attestation after the required prior authentication. These are different routes, selected according to the document and its intended use.

Embassy or consulate

The destination’s requirements

Where required, documents are submitted through the relevant embassy or consular process. We confirm the applicable stages, supporting requirements and available assistance for your case.

Destination MOFA

An additional stage, when required

Some routes require a Ministry of Foreign Affairs stage in the destination country. This may take place abroad. We confirm whether it is needed and how that stage can be arranged.

Official authentication is performed by the relevant authorities. iloveapostille provides private assistance with the arrangements. An apostille authenticates a document’s origin and does not guarantee acceptance of its contents or your application.

Pickup, provision and delivery

Arrange the work.
Then the handover.

Pickup and return arrangements are confirmed for your location and the agreed document route. Delivery can be arranged within India or abroad; international courier is quoted separately for your delivery address.

Read about document delivery

Before providing documents

  • Start with the document type, issuing location and recipient’s instructions. No originals or complete scans are needed for the first enquiry.
  • Confirm which stages are included, the document requirements, charges and estimated timing.
  • Send or present documents only after the case-specific instructions and arrangements are agreed.
  • Check any attendance requirement. Our notarisation service takes place within India only.

Can a digital record be used?

eSanad supports verification and attestation or apostille for eligible records available through integrated digital repositories. A scanned file by itself does not establish eligibility. We check the document and applicable process.

Destination-country MOFA work may occur abroad. It is separate from notarisation, which we arrange only within India.
